Terms and Conditions

General aspects of the service

• PAYMENT OF ACCOMMODATION: Equipetrol Suites reserves the right to charge in advance when it deems it convenient. Likewise, any account must be paid at the time of being requested by reception, for which the guest must have his entire predisposition.

• PAYMENT METHODS: Payment can be made in cash in national currency or US dollars as well as with Visa and Master Card credit cards. "We are not allowed to pay with American Express." We also accept QR code bank transfers.

• DOCUMENTATION: All guests, at the time of registration, must present their identity document or passport entry ticket to the country (foreigners only) and set the time of their stay at Equipetrol Suites. In the event of later requiring a longer stay than the one provided in the registration form, your confirmation of space will be conditioned by the reservations department based on the availability of apartments for the new required dates.

• SCHEDULE OF ENTRY (Check in): From 13:00 hrs. For flights that arrive at dawn, the room reservation must be made taking into account one night before the arrival of the flight.

• DEPARTURE TIME (Check out): At 12:00 hrs. If you want to occupy your room after this time, 50% of your rate is increased until 6:00 p.m. and it will depend on the availability of the department, which must be coordinated and confirmed with the administration of the Aparthotel. After this time, 100% of the rate will be charged.

• EARLY CHECK IN (6:00 am to 12:00): The hours established by Equipetrol Suites for the corresponding Check in and Check out are 12:00 and 13:00 noon (MD) respectively. Income can be made normally from 7:00 a.m. to 6:00 p.m., and the passenger may enter his room before the allowed time of Check in (1:00 p.m.), as long as Premium Suites has the availability of the department, otherwise the guest will have to wait until 12:30 PM to proceed with their entry and corresponding Check-in.

• LATE CHECK IN (18:00 to 00:00): Late Check in hours (delayed entry time) are the hours between 18:00 and 00:00 midnight (MN) and must be indicated by the guest at the time of making the reservation, in such a way as to avoid the automatic cancellation of the pampering or the use of the department involved in the reservation during the day.

• Guests who check in from 00:00 MD until 5:00 am is considered a "LATE ARRIVAL" and their stay will be recorded as a normal cost of one night's stay, leaving at 12 noon. : 00 MD unless you have requested a Late check out for 2:00 p.m., which will be subject to availability and confirmation by Equipetrol Suites.

• LATE CHECK OUT (14:00): Any request that does not exceed 14:00 is considered a late check out. This procedure may be requested by the guest at no charge to the Aparthotel if necessary, but its confirmation will be subject to availability of space and will be informed in a timely manner.

• LATE CHECK OUT (18:00): A half-rate charge is made according to the department in which the guest is located.

• LATE CHECK OUT (FULL RATE): Any late check out that exceeds 6:00 p.m. is sensitive to the collection of the full department rate. Regardless of whether or not the guest stays overnight.

• DAY USE: The use of Equipetrol Suites apartments is considered DAY USE, when the guest makes his reservation and confirms the use of the apartment, for a period of no more than 6 hours during the same day. In this case, the rate to be applied will be a 50% discount on the rack rate of the reserved department.

• WALK IN: A WALK IN guest is considered to be all those people or institutions who did not have a confirmed reservation at Equipetrol Suites and who wish to make immediate use of an apartment. In case of availability and taking into account the season of the year, the reception of Equipetrol Suites will indicate the rate to be applied.

• EXTENDED STAYS: For periods of stay greater than 30 days (EXTENDED STAYS), the guest must, in addition to registering and corresponding Check - In, deposit a guarantee of $ us 200 which will be returned once the Check out and the Equipetrol Suites administration check the good condition of the rented apartment's assets. (only applicable for natural persons and not for corporate reservations).

• GUARANTEE DEPOSITS: Deposits made for "EXTENDED STAY" (more than 30 days, except in fair season), will be fully reimbursed to the guest once it has been verified that the state of the apartment and its assets are in good condition. optimal conditions. On the other hand, in case of damages, what corresponds to said guarantee will be executed as part of damages.

• REDUCTION OF DAYS IN A LONG-TERM LODGING RESERVATION: In the event of a reduction in the days of lodging of a reservation greater than 15 days, and that it enjoys a preferential rate, the Aparthotel will make an adjustment to its rates, applying the counter prices for the hosting time used. In the event that the rate adjustment results in an outstanding balance, the guest will assume and must pay said amount without any claim.

• CARE POLICY FOR PERSONAL OBJECTS: The Aparthotel makes available and in each of the departments, a digital safe. These teams are enabled FREE OF CHARGE for all guests, therefore, any loss will be the full responsibility of the guest and not the Aparthotel.

• The clothes forgotten in the room will be kept for a period of 2 months pending a claim, at the end of that time Equipetrol Suites reserves the right to decide their destination.

• APARTHOTEL ASSET CARE POLICY: The guest has the obligation and total responsibility to ensure the conservation and care of the assets (furniture, equipment and others) and facilities of the department assigned for their stay. For this purpose, at the time of registration and Check-in, you will receive a ticket with the list of equipment made available to you and the current state of operation. Any damage caused to any of the assets during the stay will be the guest's full responsibility and must be replaced by assuming a value imposed by Equipetrol Suites in relation to the level of damage caused to the apartment's assets.

• ENTRY OF VISITS: For your safety and that of the rest of the guests, it is NOT allowed to enter the rooms to people who have not previously been registered at reception. For this purpose, the accompanying persons who enter must present their identity document or passport at reception and receive the corresponding authorization.

• MAXIMUM TIME FOR VISITS: External persons who have authorization as companions should not remain at the Equipetrol Suites facilities after 11:00 pm.

• HANDLING OF KEYS TO THE DEPARTMENTS AND CLEANING SERVICE: For your convenience and in time to leave, the guest must leave the keys to their room at reception, so that Equipetrol Suites can proceed to the Room Cleaning service at the established times (8:00 to 12:00 am). After this period of time, the cleaning of the apartment will be done by the guest. In the case of loss of the key, the guest must bear the replacement costs.

• MAGNETIC ENTRY CARDS: For your convenience Equipetrol Suites will make available to its guests a magnetic card to facilitate their entry to the Aparthotel, this must be returned at the time of checkout. In case of loss, the guest must bear the replacement cost of 20 US dollars.

• CHILDREN'S SOFA BED USE POLICY: Children under 10 years of age may use the sofa bed in the living room at no extra charge, above this age limit the cost will be $ 15 per night.

• PET POLICY: In Equipetrol Suites, pets of any kind are allowed.

• SOCIAL MEETINGS: The Aparthotel is not allowed any type of parties within the departments.

• Users should not forget that there are other guests staying, who have the same rights and obligations, which is why it is categorically required to comply with the hours established in the internal policies of the Aparthotel, in addition to maintaining the appropriate standards of conduct during your stay. Any infringement of this rule empowers the Aparthotel to cancel the guest's reservation without any claim and unilaterally, in addition to demanding the payment of damages.

• NOISE POLICIES AND CANCELLATION OF THE LODGING SERVICE: The Administration of Equipetrol Suites reserves the right to demand within its facilities the cessation of all noise likely to disturb the rest of the guests.

• The Administration of Equipetrol Suites may unilaterally terminate the accommodation contract under the following grounds.

- Serious crime or violation of good coexistence customs.

- For damages or losses that the guest or their visits may cause Equipetrol Suites or third parties.

- The entry of controlled or illegal substances from the establishment or to your room. In doing so, Premium Suites reserves the right to make the corresponding complaint to the relevant authorities.

- For infringement of any of the aforementioned points.

• SPECIAL REQUIREMENTS: Any request for additional services such as ironing table, street dryer, Blu ray equipment, Xbox 360, vehicle rentals and others must be made together with your reservation, so that we can verify availability and give an effective response upon your requirement.

Reservations, confirmations, cancellations and penalties

• RESERVATION CHANNELS: Equipetrol Suites suggests making your reservations with the corresponding anticipation to ensure that you are properly attended to. • RESERVATION CONFIRMATIONS: Reservations will be confirmed in writing and sent by email from the potential guest detailing each and every one of the conditions agreed for their accommodation, such as: date of entry, date of departure, number of nights, number of people , type of department, Aparthotel of your choice, payment method, etc.

• All reservations that do not have a corporate agreement with our Aparthotels, must necessarily support their reservation with an advance payment of at least one night's stay, before 72 hours after it is made, otherwise our system will automatically cancel the same, without the right to claim and reply by the guest.

• EXTENSIONS OF RESERVATION: In the event of any need to extend accommodation by a guest, he or she must expressly request the reservation department for the possibility of expanding the accommodation service, providing for this the new dates of entry and exit. The reservations department will evaluate said request based on the availability of space and will generate a new written confirmation if the extension is appropriate, starting a new hosting service with the guest.

Likewise, and to be appropriate, the guest must have all accounts in "0" with the Aparthotel and pay in advance for the new service required.

Accommodation extensions that have not followed the regular channel with the reservations department will not be taken as official by the Aparthotel, giving rise to possible inconveniences for the guest and the non-generation of space.

• RESERVATION MODIFICATIONS: Modifications or changes to the reservation conditions must be reported by mail (reservas@equipetrolsuites.com), at least 24 hours in advance, with no verbal communication being valid.

• CANCELLATIONS INDIVIDUAL PASSENGERS: Penalties / charges for NO SHOW will not be applied if the cancellation of the reservation is made 24 hours before the arrival of the guest. Otherwise, a penalty corresponding to the value of one night's stay will be applied. Cancellations by phone are not accepted as valid, cancellations must be notified by letter or e-mail.

• GROUP CANCELLATIONS: No NO SHOW charge if done 7 calendar days in advance of the arrival of passengers. Otherwise, the amount corresponding to one night's stay for the whole group is charged. Cancellations by phone are not accepted as valid, and they must be notified by letter or e-mail.

• PENALTY FOR NO SHOW: Any cancellation or modification outside the established cancellation policies, has the charge of one night's lodging.

Fees and Commissions

• Special, promotional or corporate rates are considered "NET" rates NOT SUBJECT TO COMMISSION OF ANY KIND by Equipetrol Suites, in relation to the company or person who made the reservation. Said rate must be paid in its entirety to Equipetrol Suites.

• The corporate rates resulting from inter-institutional agreements between Equipetrol Suites and companies of different sectors are strictly confidential and independent of each other. Likewise, corporate rates are valid for 1 calendar year from the signing of the agreement, except in high seasons (EXPOCRUZ from September 15 to 30) where companies must consider the "FAIR RATES" established by Equipetrol Suites for said time frame.

• In the event of any promotion or rate established for "EXTENDED STAY" (longer than 15 days, except in fair season), it must be canceled in its entirety at the time of making the corresponding reservation.

• Rack or counter rates are subject to being commissioned by both Travel Agencies (AGV), Natural Persons, Representatives or Tourism Operators (OPT), as long as they are adjusted to the percentage agreed and committed between Equipetrol Suites and said companies, prior signature of an agreement between parties. No rate displayed or published by any type of Tour Operator can or should be higher than the rack or counter rates offered by Equipetrol Suites.

• The commissionable percentages susceptible to payment to the different Tourism Operators (AGV, OPT or others), are determined confidentially and independently after negotiation and signing of inter-institutional agreements.

• The payment of commissions to Travel Agencies (AGV), Natural Persons, Representatives or Tourism Operators (OPT) will be made after monthly administrative reconciliation and against delivery and sending of the corresponding tax invoices.

• GROUP RATE: Applies to a minimum of 10 reserved apartments.

High and low seasons

• High seasons are considered to be all those dates in which the demand for accommodation is substantially increased during certain periods of time of the year. Among the activities considered within this category we have: from September 15 to 30 (EXPOCRUZ) and any national or international congress based in Santa Cruz, which has a visitor movement equal to or greater than 200 people.
